Nature Bound Africa Terms & Conditions | Safari Booking Policy & Cancellation Terms

These Terms and Conditions govern all bookings made with Nature Bound Africa (“NBA”, “Nature Bound Africa”, “we”, “us”, or “our”). By paying a deposit, making full payment, signing a booking form, accepting a quotation, or otherwise confirming a booking, the client (“you”, “your”, “traveler”, or “guest”) acknowledges that they have read, understood, and agreed to these Terms and Conditions.

It is essential to understand the Terms and Conditions to ensure a smooth experience during your travels.

These Terms and Conditions encompass all aspects of your travel experience, from booking to cancellation.

These Terms and Conditions apply to all services offered by Nature Bound Africa, including but not limited to:

We encourage all travelers to carefully review these terms before confirming a booking. By making a payment or confirming a reservation, you agree to the conditions outlined below.

Whether you are joining us for a Tanzania safari, Kenya safari, Mount Kilimanjaro climb in tanzania, Zanzibar beach holiday, gorilla trekking adventure, or a tailor-made East African tour, these terms are designed to protect both our guests and our company while ensuring a smooth travel experience.


1. BOOKING CONFIRMATION

A booking is considered confirmed only when:

  1. Nature Bound Africa has received the required deposit or full payment; and
  2. Written confirmation has been issued by Nature Bound Africa.

Availability of accommodations, flights, permits, and other services cannot be guaranteed until a booking has been confirmed.

Nature Bound Africa reserves the right to decline any booking prior to confirmation.

Understanding these Terms and Conditions can help avoid misunderstandings later.

Each safari experience will be bound by the Terms and Conditions set forth by Nature Bound Africa.


2. DEPOSIT & PAYMENT TERMS

It is important to understand our Terms and Conditions thoroughly before proceeding with your booking.

Standard Season Bookings

For travel outside peak season periods, a non-refundable deposit of 30% of the total tour cost is required to confirm a booking.

Peak Season Bookings

For travel taking place during:

  • June 1st – October 31st
  • December 20th – January 10th

A non-refundable deposit of 40% of the total tour cost is required to confirm a booking.

Nature Bound Africa reserves the right to request a higher deposit where lodges, camps, airlines, permit authorities, or other suppliers require advance payment.

By understanding these Terms and Conditions, you can better prepare for your journey.

Final Payment

The remaining balance must be paid no later than 45 days before arrival.

Bookings made within 45 days of arrival require full payment at the time of booking.

It is vital to review these Terms and Conditions before confirming your booking.

Failure to make payment by the due date may result in cancellation of the booking and forfeiture of any payments already made.


3. PAYMENT METHODS

We accept:

  • International Bank Transfers
  • Credit Card Payments
  • Online Payment Platforms where available

All bank charges, transfer fees, credit card fees, exchange rate costs, and intermediary bank charges are the responsibility of the client unless otherwise agreed in writing.

These Terms and Conditions are designed to protect you as a traveler.

All quotations are provided in United States Dollars (USD) unless otherwise stated.

Failure to adhere to the Terms and Conditions may result in cancellation.


4. NON-REFUNDABLE SERVICES

The following services become 100% non-refundable immediately upon purchase or confirmation, regardless of the cancellation date:

  • Gorilla Trekking Permits
  • Chimpanzee Trekking Permits
  • Kilimanjaro Park Permits already secured
  • Domestic Flights
  • Regional Flights
  • International Flights purchased through Nature Bound Africa
  • Hot Air Balloon Safaris
  • Special Event Tickets
  • Third-Party Permits and Licenses
  • Any supplier services designated as non-refundable

Nature Bound Africa shall not be liable for any refund of such services once purchased.


5. CANCELLATION POLICY

All cancellations must be submitted in writing by email.

Cancellation charges apply from the date written notice is received.

6. CLIENT REQUESTED CHANGES

Any requested changes after confirmation are subject to availability.

Changes may result in:

  • Additional supplier charges
  • Increased tour costs
  • Amendment fees
  • Loss of promotional rates

Nature Bound Africa cannot guarantee that requested changes can be accommodated.


7. CHANGES MADE BY NATURE BOUND AFRICA

Nature Bound Africa reserves the right to alter accommodations, routes, transportation, activities, guides, or services where necessary due to:

  • Weather conditions
  • Road conditions
  • Safety concerns
  • Government directives
  • Park regulations
  • Supplier availability
  • Operational requirements

Where practical, alternative arrangements of comparable standard will be provided.

Such changes shall not constitute grounds for compensation or cancellation.


8. GOVERNMENT FEES, PARK FEES & TAX ADJUSTMENTS

All quotations are based on fees, taxes, and regulations in effect at the time of quotation.

Government authorities, park authorities, conservation agencies, airlines, and suppliers may increase fees without notice.

These may include:

  • National Park Entry Fees
  • Ngorongoro Conservation Area Fees
  • Concession Fees
  • Camping Fees
  • Crater Service Fees
  • Conservation Levies
  • Tourism Development Levies
  • Government Taxes
  • VAT
  • Gorilla Permit Fees
  • Kilimanjaro Park Fees
  • Airline Taxes and Fuel Surcharges

Should any increase occur after a booking is confirmed, Nature Bound Africa reserves the right to pass such increases on to the client.

The client agrees to pay any such increases prior to travel.

Failure to pay may result in cancellation of services without refund.


9. FORCE MAJEURE

Nature Bound Africa shall not be liable for any delay, cancellation, injury, loss, or additional expenses arising from circumstances beyond our reasonable control, including but not limited to:

  • Natural disasters
  • Floods
  • Fires
  • Epidemics and pandemics
  • Political unrest
  • Civil disturbances
  • Terrorism
  • Government restrictions
  • Border closures
  • Airline disruptions
  • Extreme weather events

Refunds in such situations shall be subject to recovery from suppliers and third-party service providers.


10. TRAVEL DOCUMENTS & ENTRY REQUIREMENTS

Clients are solely responsible for obtaining:

  • Valid passports
  • Entry visas
  • Transit visas
  • Vaccination certificates
  • Health documentation
  • Travel permits
  • Any required entry authorizations

Nature Bound Africa shall not be liable for denied boarding, denied entry, missed travel, or associated costs resulting from inadequate documentation.


11. TRAVEL INSURANCE

Comprehensive travel insurance is strongly recommended.

Coverage should include:

  • Trip cancellation
  • Trip interruption
  • Medical expenses
  • Emergency evacuation
  • Repatriation
  • Personal liability
  • Baggage loss
  • High-altitude trekking (where applicable)

Travelers who choose not to purchase travel insurance do so entirely at their own risk.


12. HEALTH & FITNESS REQUIREMENTS

Travelers are responsible for ensuring they are medically fit for their chosen itinerary.

Participation in safaris, trekking, hiking, mountain climbing, water activities, and other adventure activities is undertaken at the client’s own risk.

Nature Bound Africa reserves the right to refuse participation where safety concerns exist.

No refund shall be due where a traveler cannot continue due to illness, injury, fitness limitations, or personal reasons.


13. KILIMANJARO EMERGENCY EVACUATION

Mount Kilimanjaro is a high-altitude mountain where emergency evacuation may become necessary.

Nature Bound Africa strongly recommends travel insurance that specifically covers:

  • High-altitude trekking
  • Helicopter rescue
  • Medical evacuation
  • Emergency medical treatment

Any costs associated with:

  • Helicopter rescue
  • Air evacuation
  • Ground evacuation
  • Hospitalization
  • Medical treatment
  • Repatriation

shall be the sole responsibility of the client unless covered by their insurance provider.

Nature Bound Africa accepts no responsibility for such expenses.


14. WILDLIFE VIEWING DISCLAIMER

Nature Bound Africa cannot guarantee sightings of any particular animal or wildlife event.

Wildlife is free roaming and subject to natural movement patterns.

This includes, but is not limited to:

  • Big Five sightings
  • Great Migration river crossings
  • Predator sightings
  • Marine wildlife encounters

No refunds shall be issued due to wildlife sighting expectations not being met.

The Terms and Conditions govern all aspects of your travel with us.


15. CLIENT RESPONSIBILITY

Clients agree to:

  • Follow guide instructions
  • Comply with park regulations
  • Respect local communities and cultures
  • Act responsibly around wildlife
  • Refrain from behavior that endangers others

Nature Bound Africa reserves the right to remove any participant whose conduct is considered dangerous, disruptive, unlawful, abusive, or detrimental to the tour experience.

No refund shall be provided in such circumstances.


16. CHILD POLICY

Children are welcome on many Nature Bound Africa tours.

In the event of a dispute, these Terms and Conditions will be referenced.

All clients should be aware of the Terms and Conditions to avoid issues.

Pricing is generally as follows:

  • 15 years and above: Adult rate
  • 7–14 years: 85% of adult rate
  • 4–6 years: 60% of adult rate
  • 1–3 years: 35% of adult rate

Certain lodges, camps, activities, and national parks may impose their own age restrictions.

Parents and guardians remain fully responsible for the safety, supervision, and conduct of their children throughout the tour.


17. ACCOMMODATION STANDARDS

Accommodation descriptions, photographs, and classifications are provided in good faith.

Standards and expectations may differ from those in the client’s home country.

Nature Bound Africa shall not be liable for subjective differences in accommodation expectations.


18. LUGGAGE RESTRICTIONS

For domestic flights and certain light aircraft operations:

  • Maximum luggage allowance is generally 15 kg (33 lbs)
  • Soft-sided bags are strongly recommended

Excess baggage charges are the responsibility of the client.


19. LIMITATION OF LIABILITY

Nature Bound Africa acts as an intermediary between clients and independent suppliers, including:

  • Hotels
  • Lodges
  • Camps
  • Airlines
  • National Parks
  • Conservation Authorities
  • Activity Providers
  • Transportation Providers

Nature Bound Africa shall not be liable for:

  • Injury
  • Illness
  • Death
  • Property loss
  • Property damage
  • Delays
  • Missed connections
  • Supplier failures
  • Loss of enjoyment

except where directly caused by proven negligence of Nature Bound Africa.

Nature Bound Africa’s maximum liability shall not exceed the amount paid directly to Nature Bound Africa for the affected services.


20. CHARGEBACKS & PAYMENT DISPUTES

By making payment, the client acknowledges that the services purchased involve advance payments to lodges, camps, airlines, national parks, conservation authorities, and other third-party suppliers.

The client agrees not to initiate a chargeback or payment dispute for services provided in accordance with the confirmed itinerary and these Terms & Conditions.

Should a dispute arise, the client agrees to first submit the matter in writing to Nature Bound Africa and allow a reasonable opportunity for resolution.

Nature Bound Africa reserves the right to recover legal fees, collection costs, administrative expenses, and other costs incurred in defending unjustified chargebacks or payment disputes.


21. COMPLAINTS

Any complaint must be reported immediately to the tour guide or Nature Bound Africa representative to allow reasonable opportunity for resolution.

If the matter remains unresolved, written notice must be submitted within 14 days of completion of the tour.

Failure to do so may limit Nature Bound Africa’s ability to investigate and resolve the matter.


22. PHOTOGRAPHY & MARKETING

Unless expressly declined in writing, Nature Bound Africa may use photographs, videos, reviews, testimonials, and feedback voluntarily provided by clients for promotional purposes.

No compensation shall be payable for such use.


23. GOVERNING LAW

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the United Republic of Tanzania.

Any dispute arising under these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of Tanzania.


24. CLIENT ACKNOWLEDGEMENT

All clients must acknowledge acceptance of these Terms & Conditions before a booking can be confirmed.

The following declaration shall form part of all booking forms, quotations, invoices, and online booking procedures:

☐ I have read, understood, and agree to Nature Bound Africa’s Terms & Conditions of Booking. I acknowledge that I am entering into a legally binding agreement and accept all payment, cancellation, liability, and travel conditions contained therein.

For group bookings, the lead traveler confirms acceptance of these Terms & Conditions on behalf of all travelers named in the booking.

Payment of a deposit or any portion of the tour cost constitutes acceptance of these Terms & Conditions by all travelers included in the booking.

How much deposit is required to book a safari with Nature Bound Africa?

For most safaris and tours, a 10% non-refundable deposit is required to secure a booking.
For peak season travel between June and October and during the Christmas and New Year holiday period, a 40% non-refundable deposit may be required.
The balance is due 45 days before arrival.

When is the final safari payment due?

The remaining balance must be paid no later than 45 days before your arrival date.
Bookings made within 45 days of arrival require full payment at the time of booking.

Are safari deposits refundable?

No.
Deposits are used to secure accommodations, transportation, permits, and other travel services and are therefore non-refundable.

What happens if I cancel my safari?

Cancellation fees depend on how far in advance the cancellation is made.
Fees range from loss of deposit to 100% of the total tour cost for cancellations made close to the departure date.

Are gorilla permits refundable?

No.
Gorilla permits, chimpanzee permits, and similar government-issued permits are generally 100% non-refundable once purchased.

Are domestic flights refundable?

No
Domestic flights and charter flights become non-refundable once ticketed.
Specific airline conditions may vary.

What if Tanzania or Kenya increases park fees after I book?

National park authorities occasionally revise park fees, conservation fees, concession fees, and taxes.
Should such increases occur after booking, Nature Bound Africa reserves the right to pass these increases on to the traveler.

Is travel insurance required?

Travel insurance is strongly recommended for all travelers.

Coverage should include:

Medical expenses
Emergency evacuation
Trip cancellation
Trip interruption
Lost baggage
Personal liability

Travelers climbing Mount Kilimanjaro should ensure their insurance covers high-altitude trekking and helicopter evacuation.

What happens if I become sick during a Kilimanjaro climb?

Your safety is our highest priority.
Our mountain team will assess the situation and arrange evacuation if necessary.
Any helicopter rescue, medical evacuation, hospital treatment, or repatriation costs remain the responsibility of the traveler unless covered by insurance.

Can Nature Bound Africa guarantee Big Five sightings?

No.
Wildlife moves freely throughout East Africa’s national parks and conservation areas.
While our guides work hard to maximize wildlife viewing opportunities, no safari company can guarantee sightings of specific animals.

Can children join your safaris?

Yes.
Nature Bound Africa welcomes families and offers family-friendly safari itineraries.
Some lodges, camps, and activities may have age restrictions, which will be communicated during the booking process.

What luggage should I bring on safari?

For domestic safari flights, soft-sided luggage is strongly recommended.
Most safari aircraft limit baggage to 15 kg (33 lbs) per person.

Can I dispute a payment after my safari?

Clients agree to first contact Nature Bound Africa directly regarding any concerns before initiating chargebacks or payment disputes.
Most issues can be resolved quickly through communication.
